Applicant Notes

 

This is the contact management feature for applicants. To get to a specific applicant's notes...

 

Click the Applicants Tab My Applicant Files then:

 

Select an applicant from the dropdown. On the file page, click the Notes button (top right).

 

or

 

Enter an applicant's name in the text box, then click Go. On the Directory page, click

 

or

 

Enter an applicant ID#in the text box, then click Go. On the file page, click the Notes button (top right).

 

or

 

Enter an applicant SSN#in the text box, then click Go. On the file page, click the Notes button (top right).

 

 

Enter a Manual Note (Get to Applicant Notes Page)

1-Relate the Note to a Program by selecting one from the dropdown. If an applicant is ONLY enrolled in ONE program, the selection is made automatically for you. If the applicant is not enrolled in a program, you'll get a message to that effect. You can then click OK and ignore it, or click cancel (to cancel entering the note) and go enroll the applicant in a program.

 

2-Select the Status.

 

3-Type in the Note.

 

4-Click the Enter New Note button.

 

 

Enter an Auto Note (Get to Applicant Notes Page)

Auto Notes are tasks and functions which are performed frequently. They are listed in a dropdown to save users from having to type the same notes over and over into applicant files. They can be created (by users with Administer Permission) in the Admin Section / Programs / Auto Notes.

 

To enter an Auto Note...

 

1-Select it from the dropdown.

2-Enter the date (if you wish it to be different than today's date, which is set as the default).

3-Click the Add Note button.

 

 

Enter Agency Referral (Get to Applicant Notes Page)

This program refers an applicant to an organization in your referral database. It updates all worksheets and reports and types a note, complete with an instruction page for the applicant, into his file. There are 2 types of Referral Agencies: In-House and Outside Agencies.

 

If the dropdown list first choice is'Refer to an Outside Agency', the list will be made up of Outside Agencies.

 

If the dropdown list first choice is'Refer In House', the list will be made up of In-House Agencies.   

 

Click  the icon to choose which set of agencies populate the dropdown.

 

To enter a referral...

 

1-Select the agency from the "Refer To:" dropdown (Note: Agencies are listed under the category of service they provide AND ARE ALSO listed alphabetically at the bottom of the dropdown.)

2-Enter the appointment date and time, if there is one, or select 'No Time Set' and delete the default date, if there isn't an appointment set.

3-Click the Add Note button.

 

 

Set Recall (Get to Applicant Notes Page)

This is a contact management prompting feature for recall contacts due. Each system user has his/her own Recall List of employers and or applicants who are due to be contacted. To set an applicant recall date and task...

 

1-Enter the date in the text box.

2-Click the Set button.

3-Select a task from the dropdown (Optional)

4-Click the Set Recall Date button.

 

 

Log Contact Hours (Get to Applicant Notes Page)

The system will track contact hours spent with an applicant and type a note into the file. There is a counter on the applicant file page, and a contact hours report in the reports section, both of which will automatically be updated.

 

To log contact hours...

 

1-Click the thin gray Contact Hours button.

2-Select the number of hours.

3-Click the Enter button.

 

 

 

Print Notes (Get to Applicant Notes Page)

Contact notes can be printed with various filters.

 

To print notes...

 

1-Click the thin gray Print All Notes button.

2-Select from the filters (By: User, Status and or Program).

3-Enter the date range of the notes you want printed.

4-Click the Print button.

 

or (For Specific Program Related Notes)

 

1-Click the 'Program Specific Notes' link near the top of the page.

2-Select a program.

3-Enter the date range of the notes you want printed.

4-Click the Go button.
